How the plan price is worked out
- Technician cost = visits x (minutes on site + drive minutes) / 60 x cost per technician hour.
- Cost per plan = technician cost + visits x materials + office cost.
- Yearly price = cost / (1 minus margin).
Many shops price plans at a thin margin on purpose, because members call you first for repairs and replacements. That is a choice to make knowingly. Do not let it happen by accident from pricing visits below cost.
What the price does not include
Member discounts on repairs, priority scheduling and waived diagnostic fees all cost something. If members get 15% off repairs, that discount comes out of repair margin, not out of the plan price. Write down what the plan includes: the HVAC maintenance agreement template lists the terms.
Keeping plans from lapsing

Should a maintenance plan make a profit on its own?
That is the owner's call. Some shops price plans near break-even because members bring repair and replacement work. Know your cost per plan either way.
Is monthly or yearly billing better for maintenance plans?
Monthly billing is easier for customers to say yes to and renews by default, but needs failed-card handling. Yearly billing brings cash in up front and needs a renewal reminder every year.
